FAQ
Once you have your Bright Cards and your Referral Source profiles are ready to go, follow these 6 steps to get your general practitioners and other referral sources started.
SCHEDULE IN PERSON LUNCH & LEARNS: Use the email and phone call scripts below to reach out to your referral sources and schedule a 20 minute lunch and learn or other in-person event with the entire staff of each office.
TELL THEM ABOUT BRIGHT REFERRAL: During the lunch and learn, tell everyone in the office about all of the amazing things that you guys offer that make you an excellent office to refer patients to. One of those amazing things is Bright Referral because it is easier for them to refer and better for the patient. Here is a presentation deck you can use if you'd like.
LET THEM PRACTICE REFERRING: During the lunch and learn, make sure to save time for everyone to practice referring themselves and each other with their Bright Cards. This makes everyone feel comfortable and greatly increases the frequency of referring. Be sure to leave them with enough cards to put one in every treatment chair/hygiene room, one for the doctor, and a couple at the front desk.
GIVE THEM ACCESS TO SUPPORT: Before leaving your lunch and learns, make sure you show them this website that is meant specifically for general practitioners. Included on the site are reminders about how to use Bright Cards, FAQ, and more.
KEEP IN TOUCH: Follow-up with your referring offices often. Thank them for their referrals and make sure they are comfortably and consistently using their Bright cards, Consider using the above scripts if you need any email/phone call support.
STAY ACTIVE: Remember to check your Bright Referral Activity page regularly so you can monitor the healthy of your referral sources, and continue growing your business.

It sounds like your referring offices need a bit more training. Every time you receive a referral without contact information, you can take the following steps:
1. Call to say thank you.
2. Remind the office to encourage patients to share their info because it helps the patient. By sharing info, patients get in for treatment faster and don't have to do any of the work of following-up- they just wait for the you to call. It's a better experience overall.
3. Ask them to share the contact info with you OR reach out to the patient again to make sure they have the referral info.
Here are a few scripts you can provide to your referring offices to help them guide the patient.
Sharing is already baked into a patient's phone functionality. Just have them tap the share button within their browser. Watch this super short video to see how easy it is.
Because that way we have a record of every single referral and the data stays "clean". Plus the patient feels more in control of their medical choices. If a referring office tries to refer patients using an office device, the data will keep re-writing itself. Check out this blog post for more details.
Using the Bright Cards to tap to refer is super simple and works on every smartphone manufactured 2017 or later. Plus, there is always the back-up QR code for older phones or flip phones. Here is a video with more tips and tricks.
And here is another video specifically showing how to tap Bright Cards to Android phones.
Don't fear! This is actually a great opportunity to continue training your referral sources to use the Bright Cards.
Here is what we suggest:
Call the referring office to figure out why paper was used.
Ask about their referral process so you can help them understand how Bright Referral fits right in.
Ask their staff to send through a test referral to make sure everything is working properly.
Follow up again in 1 week to see how things are going (you will already know because of the data, but it's good for the referring office to continue to be reminded while they are learning something new).
To help with this, here are some scripts you might like to use.
We know every office is different so we have 4 ways for a referring office to share patient notes.
1: VOICE NOTES: Our patented voice-note technology is the first of its kind. Just ask patients to tap the red record button and their phone is now a recording device. The GP or team member can speak voice notes about the patient from anywhere nearby (no need to make it awkward). When the patient submits the form, that voice note and the patient contact information is immediately available for the doctor receiving the referral.
2. TEXT NOTES: If the notes are simple enough, the patient can quickly share them with our text box. Maybe it's about overcrowding or wisdom teeth or a second opinion. Keep it simple and fast in this area.
3. FOLLOW-UP CHECKBOX: Sometimes the notes for a patient are super detailed or sensitive in nature. If that's the case, GPs can tell the patient to check the follow-up box and the doctor receiving the referral will be notified to reach out to the GP for more information.
4. IN APP NOTES: For doctors that love to have all the information, they can be provided with tailored access to the specialist's Bright Referral account. With this access, doctors can share notes anytime and the specialist will receive an alert each time they do so.
